Privacy Policy

This policy explains what personal information Yotel handles, why we handle it, who we share it with, and the choices available to you. It covers the yotel.in website and the demo requests submitted through it, and describes at a high level how we treat data processed on behalf of our customers in the Yotel dialer platform.

01Scope of this policy

Yotel provides an outbound calling and voice-AI platform used by contact-centre teams. That produces two different relationships, and this policy treats them differently.

  • Information we control. Details you give us directly — for example when you request a demo, contact us, or browse this website. We decide why and how this is handled, and this policy governs it in full.
  • Information we process for customers. Call records, contact lists, recordings, transcripts and related data that a customer loads into or generates on the Yotel platform. Here the customer is the controller and decides the purpose; we act on their documented instructions under our customer agreement. If you are an end contact of one of our customers, please direct requests to that organisation.

02Information we collect

We aim to collect the minimum needed to answer your enquiry and to operate the service reliably.

  • Information you provide. When you book a demo you give us your name, work email, phone number, company or organisation, job title or role, your preferred date and time, and anything you choose to write in the message field. You also record whether you accepted this policy and our Terms and Conditions.
  • Correspondence. If you email or call us, we keep the content of that exchange and our replies so we can follow up and keep a record of what was agreed.
  • Technical data. Standard information your browser sends when you visit the site, such as IP address, user-agent, referring page, and the pages you viewed. This is used for security, diagnostics and aggregate traffic measurement.
  • Platform data. For customers using the dialer, this includes account and user records, configuration, call metadata, and — where the customer has enabled it — call recordings and transcripts. Scope and settings are determined by the customer.

We do not ask for special-category information, and we ask that you do not include sensitive details, credentials, or confidential third-party information in a demo request’s free-text field.

03How we use information

We use the information described above to:

  • Respond to demo requests and other enquiries, and arrange and conduct the session you asked for.
  • Provide, operate, maintain and support the Yotel platform for customers.
  • Keep the service secure — detecting, investigating and preventing abuse, fraud and unauthorised access.
  • Understand which parts of the site are useful, in aggregate, so we can improve them.
  • Meet our legal, regulatory and record-keeping obligations, including telecom-sector requirements that apply to our customers' calling activity.

We do not sell personal information. We do not use demo-request details to build advertising profiles.

04Cookies and analytics

Cookies are small files a site can store in your browser. We use them sparingly and group them as follows.

  • Strictly necessary. Required for the site and the signed-in application to function, including session and security cookies. These cannot be switched off without breaking the service.
  • Analytics and performance. Help us understand aggregate usage — which pages are visited and where people encounter difficulty. These are optional.

Most browsers let you review, block and delete cookies in their settings. Blocking strictly necessary cookies may stop parts of the site from working.

At the time of writing this site ships no analytics or advertising tags, so no cookie-consent gate has been built. Adding analytics will likely require one.

05How we share information

We share personal information only where there is a clear reason to, and never in exchange for payment. The categories are:

  • Service providers. Vendors who process data on our behalf under contract — for example hosting, form delivery, email, and telephony infrastructure — limited to what their function requires.
  • Our customers. Where data was generated in a customer’s account, it is available to that customer and the users they authorise.
  • Legal and regulatory. Where we are required to disclose by law, regulation, or valid legal process, or to establish or defend legal claims.
  • Corporate transactions. If Yotel is involved in a merger, acquisition, financing or sale of assets, information may transfer as part of that transaction, subject to this policy continuing to apply.

06Data retention and security

We keep personal information only as long as it is needed for the purpose it was collected for, or as long as the law requires — then we delete it or render it non-identifying.

We maintain technical and organisational safeguards appropriate to the risk, including encryption of data in transit, access controls and role-based permissions, tenant isolation between customer accounts, and logging of administrative activity. No system can be guaranteed perfectly secure, and we do not claim otherwise; we work to reduce risk and to respond quickly when something goes wrong.

07Your rights

Subject to the law that applies to you, you may be able to ask us to:

  • Confirm whether we hold information about you, and give you a copy.
  • Correct information that is inaccurate, out of date, or incomplete.
  • Delete information we no longer have a valid reason to keep.
  • Withdraw a consent you previously gave, without affecting what we did before you withdrew it.
  • Raise a complaint with us, or with the relevant data protection authority.

To make a request, use the contact route in the final section. We may need to verify your identity before we act, and we will respond within the period the applicable law allows. If your information sits in a customer’s Yotel account, we will refer your request to that customer, who is best placed to answer it.

08Third-party services

This website links to services operated by others, including our documentation and the signed-in Yotel application. Our customers can also connect Yotel to third-party systems such as CRMs. Once information reaches a third party under its own control, that organisation’s privacy policy applies, not ours. We encourage you to read the terms of any service you connect or visit.

The demo-request form on this site is delivered through a third-party form provider so that a request reaches our team by email.

09Changes to this policy

We may update this policy as the service, our vendors, or the law change. When we do, we revise the “Last updated” date at the top of this page. If a change materially affects how we handle your information, we will take reasonable steps to tell you before it takes effect. Continuing to use the site or the service after an update means the revised policy applies.
